Position Title : Finance & Administration Assistant Department: Finance & Administration
Responsibilities
1. Financial Administration ● Assist in recording daily financial transactions and maintaining accurate financial records. ● Support preparation of payment vouchers, receipts, invoices, and petty cash records. ● Assist with bank reconciliations and cash management activities. ● Maintain organized filing systems for financial documents. ● Support monthly financial reporting and budget tracking. ● Follow up on outstanding invoices and customer payments. ● Assist during internal and external audits. 2. Administrative Support ● Manage office filing systems, records, and correspondence. ● Prepare letters, memos, reports, and meeting minutes. ● Support scheduling of meetings, appointments, and events. ● Maintain office supplies inventory and coordinate replenishment. ● Receive and direct visitors, clients, suppliers, and trainees. ● Ensure proper documentation and record management. 3. Procurement and Inventory Support ● Assist in obtaining supplier quotations and processing procurement requests. ● Support tracking of materials used in furniture production. ● Maintain inventory records for raw materials, tools, equipment, and office supplies. ● Assist with stock counts and inventory reconciliations. ● Support supplier documentation and procurement records management. 4.
