The Role

To ensure an efficient and effective support service by providing a comprehensive confidential secretarial and administrative service across the whole range of the Management Team remit

The working pattern for this role is - Wednesday Afternoon, Thursday and Friday (all day)

In This Key Role, You Will

To provide a comprehensive, high calibre secretarial and administrative service to the Management Team to support the locality business agenda. A full secretarial and administrative service will include production of letters and reports, drafting routine correspondence, and collating information as required.

To manage diary commitments and schedule meetings by liasing with a wide range of staff both internal and external to the NHS to ensure that the Management team business is progressed.

To manage incoming and outgoing correspondence and telephone calls including prioritising of workload including distribution of mail, initiating action required and setting/noting deadlines for the return of information/replies. Following up of delayed responses and self-initiating replies to ensure appropriate and timeous responses.

To create and maintain databases for a variety of management team information

including absence management and local training data. To produce reports on a regular basis to inform the management team in it’s delivery of performance management objectives.

To receive and redirect enquiries including initial complaints which can be highly sensitive and contentious. This will require a degree of tact and diplomacy and an awareness of the formal complaints procedures and a good knowledge of local services and issues.
